Saudi business visits: coordinate the host invitation before booking meetings

A Saudi business visit can require action by the host company and the traveller. Match the invitation, passport and meeting purpose before applying.

A planned business meeting in Saudi Arabia needs more than a calendar invitation. The host and traveller should agree which official visa service applies, who submits each part and what approval must be obtained before travel.

The Saudi Ministry of Foreign Affairs describes its Business Visa Request service as a route for a company or institution inside the Kingdom to request visits by people in managerial positions who have a business relationship with it. That description makes the host's role central to the application.

Build the file with the Saudi host

The ministry directs users to the visa platform and instructs them to complete the online form and obtain Chamber of Commerce endorsement. It says information should be entered in Arabic, with the stated exception for non-Arab visitors, whose names must match their passports.

Before submission, ask the host to confirm the visitor's name, passport number, company, intended activity and dates against the supporting documents. A mismatch between an invitation and an application creates an avoidable question even when the meeting itself is legitimate.

MOFA also publishes a separate Invitation Letter Request service for commercial or business visits through Saudi missions abroad. Follow the official platform instructions for the service selected; do not assume that every document described informally as an invitation has the same function.

Keep the request and final permission separate

The business-request page gives a three-business-day service estimate and notes that exceptional cases can take longer. Treat this as an estimate for that service, not a guarantee that the entire travel process will finish in three days.

Create a shared checklist recording the host submission, any endorsement, the traveller's application and the final decision. Keep reference numbers and submitted copies in the same folder. Ask the relevant mission which additional documents are needed for your nationality and place of residence.

When approval arrives, check the permitted purpose, entries and stay conditions against the actual programme. If the proposed activity involves performing work rather than attending the described meetings, explain it to the authority and employer before proceeding. The useful starting point is an accurately described trip and a host that understands its responsibilities.
